Junior Contracts Coordinator

Location: Vaughan
Type of Position: Entry Level


Provide overall support for the establishment, administration, tracking and maintenance of all subcontracts and the associated master files. Administer the approval flow of sub-contracts awards. Perform all functions and responsibilities in consonance with the Varcon's values and beliefs.

Essential Functions/Responsibilities:
  • Review all project contracts and appendixes to ensure compliance with Varcon standards
  • Review subcontracts to ensure values and scopes of work details comply with project estimate and associated drawings and specifications.
  • File correspondence with regards to contractual matters to both customers and subcontractors.
  • Preparation of management reports, weekly status reporting and updating contract records as required.
  • Provide various administrative roles within the project teams.
  • Ensure that WSIB Clearance Certificates are maintained on each subcontractor and that notices are posted at the job sites.
  • Ensure certificates of insurance are in compliance with contract requirements and liaise with Project Managers to ensure Subs have complied with all deliverables prior to mobilization to the site.
  • Responsible for building rapport and relationships with external and internal vendors and clients.
  • Assist with any additional special projects as required.
  • Communicate with the variety of stakeholders across the organization to execute procurement initiatives.

  • Track and monitor status of subcontracts through the approval process and issuance to subcontractors.
  • Review returned subcontracts for changes and adherence to required documentation (WSIB Clearance Certificates, certificates of Liability Insurance, Corp H&S Policy and Form 1000) and advise Project Teams of any discrepancy.
  • Follow subcontracts to execution stage and distribute to Project Teams and Accounting once completed.

  • Degree or diploma in Business or Business Administration or equivalent combination of professional experience and education.
Soft Skills:
  • Previous contract coordination experience is an asset.
  • Excellent organization skills both verbal and written.
  • Strong skills in the management of administrative practices and database management.
  • Strong verbal and written communication skills.
  • Strong interpersonal skills.
  • Self-directed with the ability to work independently as well as in a team.
  • Results orientated.
